The Sales & Client Onboarding Coordinator plays a critical role in ensuring a seamless transition from lead generation to signed contracts and smooth handoffs to operations. This position is responsible for managing inbound leads, preparing proposals, tracking contracts, and coordinating post-sales processes. The ideal candidate is highly organized, detail-oriented, and skilled at optimizing sales workflows for efficiency.
Key Responsibilities
1. Contract Management
– Prepare, send, and track contracts for signatures, ensuring timely execution.
– Maintain a structured system for contract storage and retrieval.
– Follow up on outstanding contracts to minimize delays in the sales process.
2. Proposal Creation
– Review sales call recordings and create tailored proposals that align with client needs.
– Maintain a database of proposal templates for efficiency.
– Ensure proposals are sent within the expected timeframe and track follow-ups.
3. Inbound Lead Management
– Respond to all inbound leads promptly and qualify prospects based on predefined criteria.
– Schedule and coordinate sales calls with the appropriate team members.
– Maintain lead tracking and status updates within the CRM to ensure visibility.
4. Sales Handoff Coordination
– Manage the transition from sales to operations by ensuring all necessary client details are properly documented and communicated.
– Work closely with the operations team to ensure a smooth client onboarding experience.
– Identify and address gaps in the handoff process to improve efficiency.
Qualifications
– 2+ years of experience in sales support, customer success, or administrative roles.
– Strong organizational and multitasking skills.
– Experience with CRM and proposal software (e.g., HubSpot, PandaDoc, or similar).
– Excellent communication and follow-up skills.
– Detail-oriented with the ability to manage multiple deals at once.
